This Privacy Policy explains how Calycks Websites Ltd ("we", "us") collects, uses, shares, and protects personal data when you visit calycks.co.uk, contact us, or use our services, including the Rudood AI assistant. We are the data controller of personal data we collect about you and act in accordance with the UK GDPR and the Data Protection Act 2018.
1. Data we collect
- Contact details you provide directly: name, business name, email, phone/WhatsApp number, country, message content, project type.
- Account & billing data for active clients: company information, billing address, invoice history. We do not store full card numbers — payments are handled by regulated processors (e.g. Stripe).
- Service data generated by your use of Rudood or systems we host: messages routed through the assistant, customer enquiries, configuration, logs.
- Technical data: IP address, device, browser, referrer, pages viewed, interactions, and similar analytics data collected via cookies and similar technologies.
2. How we use your data
- To respond to your enquiries and provide quotes (legitimate interests / pre-contract).
- To deliver, operate, secure, and support the Services (contract).
- To process payments, invoicing, accounting, and tax records (legal obligation).
- To improve and develop our Services and detect fraud or abuse (legitimate interests).
- To send service updates, and — only with your consent — marketing emails.
3. Rudood & messaging data
When you use Rudood or any system we build, conversations between you, your customers, and the assistant may be processed and stored to operate the service, provide analytics, improve performance, and meet legal obligations. You are the data controller of your own customer data; we act as data processor and only process it on your documented instructions and under our service terms. You are responsible for informing your own customers about how their data is used and for obtaining any required consents.
4. Sharing your data
We share data only with:
- Sub-processors we rely on to run the Services: cloud hosting, email, analytics, payment processors, AI providers, customer support tools, and similar vendors. They are bound by contract to protect your data.
- Authorities, when required by law or to protect our rights.
- Successors, in the event of a merger, acquisition, or sale of assets.
We do not sell your personal data.
5. International transfers
Some of our providers are located outside the UK. When we transfer personal data internationally, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, the EU Standard Contractual Clauses with the UK Addendum, or adequacy decisions.
6. Retention
We keep personal data only for as long as needed for the purposes above, including to meet legal, accounting, or reporting obligations (typically up to 7 years for invoicing records). Service data tied to active accounts is retained while the account is active and for a reasonable wind-down period after closure, then deleted or anonymised.

We use appropriate technical and organisational measures including encryption in transit, access controls, and audit logs. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
8. Your rights

- withdraw consent (where processing is based on consent);
- data portability;
